This notice explains what information is collected when you use the Gordon Village website, how it is used, and your rights in relation to it.
This website is operated by Gordon Common Good SCIO on behalf of the Gordon Village community. Gordon and Westruther Community Council operates the Community Council section of this site.
What information we collect
Contact form submissions
If you use a contact form on this website, we collect the information you provide: your name, email address, and message. The Community Council contact form also includes an optional phone number field. This information is submitted voluntarily by you and is used solely to respond to your enquiry.
Contact form submissions are stored securely in a database held on our hosting provider's servers. We do not share this information with any third party. Submissions are retained for as long as reasonably necessary to respond to and follow up on your enquiry, and are then deleted.
User accounts
Parts of this website are available only to registered users. If you register for an account, we store your display name, your email address and a securely hashed version of your password — we never store the password itself. Your email address is used to verify your account, to send password reset links you request, and for nothing else. We do not share it with any third party.
For the security of the site we also keep a record of sign-in attempts (including the IP address they came from) and a log of account activity such as page edits and file uploads, attributed to your display name. Sign-in records are kept for a short period for rate-limiting purposes and then deleted; activity logs are kept for as long as needed to administer the site.
You can view and update your display name and change your password at any time from your account page. If you would like your account and its personal information deleted, contact the site administrator using the details below and we will remove it.
Server logs
Like all websites, this site generates server logs when it is accessed. These logs are maintained by our hosting provider, IONOS, and may include your IP address, the pages you visited, the time of your visit and your browser type. This information is used for the technical operation and security of the website. We do not use server logs to identify or track individual visitors.
Cookies
This website does not use tracking or analytics cookies. We do not use Google Analytics or any other third-party tracking service.
A temporary session cookie is set when you visit a contact form page. This cookie is used only to support the operation of the form — specifically to verify that you are a real person and to prevent duplicate submissions. It contains no personal information and is deleted automatically when you close your browser.
If you sign in to a user account, the same session cookie keeps you signed in while you browse. If you tick “keep me signed in” when signing in, a second cookie is stored on your device so you stay signed in for up to 30 days; it contains a random token only, no personal information, and is removed when you sign out.
Google Fonts
This website uses fonts provided by Google Fonts. When a page loads, your browser makes a request to Google's servers to download the font files. This means Google may receive your IP address as part of that request. We do not receive or store any information from this process. For more information, see Google's privacy policy.
Legal basis for processing
Where we hold information submitted through a contact form, we do so on the basis of your consent — you provided the information voluntarily in order to contact us. You may request that your information is deleted at any time by contacting us using the details below.
Your rights
Under UK data protection law, you have the right to:
- ask what personal information we hold about you
- request a copy of that information
- ask us to correct inaccurate information
- ask us to delete your information
